Import clients from a spreadsheet

Moving from another system or a spreadsheet? The importer brings your entire client list over in one pass. Go to Clients → Import.

What you can upload

  • CSV, XLSX, or XLS files
  • Up to 5 MB and 5,000 rows per import

The four steps

1. Upload

Drag and drop your file, or click to browse.

2. Map columns

Velosiq reads your headers and auto-matches them to client fields — it recognizes common variations like "E-mail", "email_address", or "Work Phone" automatically. Review the mapping and adjust anything it missed. You can map:

Full name (auto-split), First/Middle/Last name, Prefix, Suffix, Company, Email, Cell phone, Business phone, Street address (+ line 2), City, State, ZIP, Notes, and Status. Columns you don't want are set to "Don't import".

Smart name splitting — if your file has one name column, Velosiq splits it sensibly:

  • Smith, John → first John, last Smith
  • John Q Smith → first John Q, last Smith
  • A company-only row uses the company name so the record still imports

3. Review & choose duplicate handling

Velosiq detects duplicates by email address against your existing clients and lets you choose:

  • Skip duplicates (default) — existing clients are left untouched
  • Update existing — fills in blanks on your existing records; data already in Velosiq is never erased by an empty cell
  • Import anyway — creates a new record even when the email matches

The review step also shows how much room your plan has left for new clients.

4. Results

You get a full report: how many clients were imported, updated, and skipped, plus a row-by-row list of anything that couldn't be imported and why. Imports are all-or-nothing at the database level — if something goes wrong mid-import, no partial data is left behind.

Plan limits: new clients count toward your plan's client cap. If the import reaches your cap, the remaining new rows are skipped (updates to existing clients still apply) and you'll see an upgrade option on the results screen.
